Removal of Personal Identifying Information from Business Organization Records

Thank you for your continued cooperation and ‘partnering’ with the Secretary of State’s Business Division as we develop and deploy improvements to our records management systems. We place a high value on excellent customer service, transparency in our all our undertakings and open, effective communications with the business community that we serve.

As stewards and managers of public records, we are also cognizant of the potential for personal identifying information being included in filings, a large portion of which are now publicly accessible online. Colorado law provides a process by which our office may, under appropriate circumstances, remove personal identifying information from a filed business document. In order to maximize efficiency for removing this potentially harmful information while still operating under the confines of statute, my office has revised its procedures for responding to requests for such removal by simplifying the process and eliminating the document processing fee.

Instructions and the updated PDF-fillable form/cover sheet are available online by following this link, http://www.sos.state.co.us/pubs/business/PDFFillable/PII_REQ_REM.pdf. Now that the process has been simplified and the required form/cover sheet is more accessible, we are asking all members of the business community to review the public records related to their businesses or their clients for personal identifying information, such as social security numbers, personal identification numbers and passwords. If you identify personal identifying information to be removed, please follow the instructions provided in the link above.
